Planning for Profit, Part 3:
Prep Planning

In this final installment of the Operations Planning series, learn how to use Prep Planning. Prep Planning is designed to reduce food costs by accurately forecasting food prep requirements. Based on your item sales history and forecast, SpeedLine recommends an optimal plan that can help even your newest managers and staff prepare efficiently for the day’s business.

Before setting up Prep Planning:

  • Set up Sales Forecasting, (if you haven't done so already) so that SpeedLine can use forecasted sales to predict your prep needs.
  • Use SpeedLine for at least two weeks. This will provide historical sales data to the Prep Planning tool. Prep plan numbers become even more accurate after you have completed six weeks of sales with SpeedLine.

Holiday Marketing

How can you generate business during the holiday season?

  • Send holiday emails to your customers. Include a special offer if they order before December 31st.
  • Mail Christmas cards with gift cards/certificates to regular customers. Encourage customers to give gift cards to their families and friends.
  • In a PMQ Canada article, Diana Coutu of Diana's Gourmet Pizza shared lots of marketing ideas, including the "no-peeking" envelopes she gives customers with their orders during the holidays.

“This [no-peeking] promotion is meant to be fun, and encourage people to come back in January, typically when the restaurant industry slows down,” Diana says. If the customer brings in the unopened envelope, or gives it to their driver, between January 1 and February 5th, they win what’s inside: anything from $5 to $50 gift certificates, six free cookies, or a free 2-liter Pepsi.

Resetting the YTD Sales

Now is the time to reset SpeedLine's YTD sales for 2008. On the Customer screen in Terminal and in your Customer Sales Reports, you can see the number of orders, and sales dollars, a customer has given you "YTD" and in "Total." If you want your Year-To-Date figures to begin in January, make sure to reset the YTD sales on New Year’s Day.

Pablo’s Pizza on Advance Orders

Paul Knaysi, owner of Pablo’s Pizza in Grand Junction, CO, tells Pizza Marketplace how he uses SpeedLine to manage large-group orders and deferred orders easily. in this Pizza Marketplace article.

"Years ago, a large order for a school pizza party or other catering event usually was handled by means of a note in the pizzeria logbook or taped to the point-of-sale system. Occasionally, those notes got lost or overlooked, resulting in chaos when the customer came looking for their order.

Today, the POS system at many pizzerias accepts orders days or even weeks in advance as one way to ensure the order doesn’t get lost in a pile of papers on the manager’s desk."
